How to choose an HR or recruiting tool

Two distinct systems get shopped for together and should not be confused. An ATS (applicant tracking system) manages hiring: job posts, candidate pipelines, interviews, offers. An HRIS manages employees: records, contracts, time off, payroll inputs. Buying one expecting the other is the standard error here.

Around those sit onboarding, performance and review, and engagement tools. These are worth adding once you have enough people that a spreadsheet has started producing wrong answers — usually somewhere between twenty and fifty.

What to check before you commit

  • Employment law fit for every country you employ in. Contract types, notice periods, statutory leave, and payroll integration are all country-specific, and a tool built for one market will quietly get another wrong.
  • Candidate experience. The application form is a conversion funnel. Tools that require account creation to apply cost you qualified candidates.
  • Data protection duties. Candidate and employee records are sensitive personal data. Check retention controls, deletion on request, and where the data is stored.
  • Whether it integrates with payroll, or expects you to re-enter everything.

What to watch for

Be careful with automated screening and ranking. Scoring candidates by algorithm carries real legal exposure in several jurisdictions, and tools rarely surface how a score was produced. If you use it, keep a human decision in the loop and keep a record of it. Also check what happens to your job posts and career page if you leave — losing indexed job URLs without redirects costs you inbound applicants for months.
