How to choose a CRM or sales tool
A CRM is the system of record for your customer relationships, which makes it the hardest tool on this list to replace later. The main split is between pipeline CRMs built around deals and stages, suited to teams selling high-value contracts, and contact-first CRMs built around people and activity, suited to relationship-led or self-serve motions.
Around the CRM sits a layer of sales tooling: prospecting and enrichment, sequencing and outreach, call recording, and quoting. These are often bought separately and integrated, which is fine — as long as the CRM stays the single source of truth.
What to check before you commit
- How hard it is to leave. Test the export early. You want contacts, companies, deals, custom fields, and activity history, not a contact CSV.
- Whether your reps will actually use it. A CRM with unreliable data is worse than a spreadsheet, because people trust it. Manual-entry-heavy tools decay.
- Real seat cost at your next headcount. Per-seat pricing plus a mandatory tier upgrade for the one feature you need is the standard trap here.
- Deliverability, if the tool sends email. Sending outreach from your primary domain can damage the domain reputation your transactional email depends on.
What to watch for
Beware buying for the org chart you want rather than the one you have. Enterprise CRMs are configurable enough to model any process, which mostly means they are configurable enough to model a process nobody follows. Start with the smallest tool that fits the motion you run today and confirm it can export cleanly. Also check where enrichment data comes from and whether its use is lawful in your market — bought contact data carries real regulatory risk.
