How to choose a finance or accounting tool
This category has a hard constraint most software categories do not: your accountant, your tax authority, and your bank all have opinions. Start from what your jurisdiction requires, then choose within that set.
The functional split is bookkeeping and accounting (the ledger, reconciliation, year-end), invoicing and receivables (getting paid, chasing late payment), payments and billing (charging customers, especially subscriptions), and spend management (cards, expenses, approvals). Only the ledger is genuinely hard to replace.
What to check before you commit
- That your accountant will work in it. This single question eliminates more options than any feature comparison, and ignoring it means paying someone to re-key your books.
- Local tax and filing support. VAT, GST, sales tax nexus, e-invoicing mandates — generic tools handle these badly, and the errors are expensive.
- Bank feed coverage for your actual banks. Feeds are the difference between reconciliation taking an hour and taking a day.
- Whether billing handles your pricing model. Proration, mid-cycle upgrades, usage billing, and dunning are where subscription billing tools genuinely differ, and where a mismatch shows up as lost revenue.
What to watch for
Payment processing costs are the real price in this category, and the headline percentage is rarely the whole number — add currency conversion, payout fees, chargeback fees, and the cost of failed-payment recovery. Also check data retention against your legal record-keeping period, which is typically several years longer than a SaaS vendor's default. Export the ledger before you need to, and confirm it imports somewhere else.
