How to choose a communication tool

Communication tools split by how much they expect people to be present. Chat is fast and assumes availability. Video and meetings are the highest-bandwidth and highest-cost option per minute. Async and long-form tools — threaded discussion, video messages, written updates — trade speed for the ability to work across time zones without everyone online at once.

Most teams already have chat and video and are actually shopping for the third. If your problem is that decisions happen in meetings that half the team missed, more chat will not fix it.

What to check before you commit

  • Message history limits. Free and entry tiers that hide older messages turn your communication tool into a tool you cannot search — and searchable history is most of the long-term value.
  • External collaboration. Working with clients, contractors, and vendors is where per-guest pricing and cross-organisation restrictions bite.
  • Retention and compliance controls, if you are in a regulated industry or handle sensitive data. Set retention deliberately rather than by default.
  • Call quality on real connections, and what the tool does when bandwidth drops — degrade gracefully, or drop the call.

What to watch for

Adding a channel rarely removes one. Each new tool multiplies the places a message might be, and the cost is paid by whoever has to search all of them. Before buying, decide what each channel is for and what moves out of chat as a result. Check the notification defaults too: a tool that pings everyone by default trains people to mute it, which quietly makes the urgent messages unreliable as well.
